Privacy Policy
Lobb Control is pickleball tournament software used by organizers, players, referees, and spectators on the web and in our mobile app. This Privacy Policy explains what personal information we collect, how we use and share it, how long we keep it, and the rights you have under the Philippine Data Privacy Act of 2012 (Republic Act No. 10173) and other applicable laws.
The short version
- We collect what we need to run tournaments: your account, your registrations, your scores, and the messages and images you send.
- Some tournament information is public by design, such as published schedules, scores, standings, and participant names.
- Payment screenshots and payment QR codes are private and are shown only to the people who need them.
- We do not sell your personal information and we do not use it for advertising.
- You can ask to access, correct, or delete your information by emailing [email protected].
1. Who We Are
Lobb Control ("Lobb Control," "we," "us," or "our") operates the lobbcontrol.com website, the Lobb Control web app, and the Lobb Control mobile app (together, the "Service"). We are the personal information controller for the account, profile, and platform information described in this policy.
Tournaments on Lobb Control are run by independent organizers. An organizer decides what to ask participants when they register (for example, custom questions and entry-fee payment proof) and how to use that information for their event. When we process that tournament information, we do so to provide the Service to the organizer and to you. Questions about how an organizer uses your registration information should go to that organizer first; you can reach them through the tournament's inquiry feature or contact us for help.
2. Information We Collect
Information you give us
- Account: email address, username, full name, and password. We store only a secure one-way hash of your password, never the password itself. If you sign in with Google, we receive your name, email address, and Google account identifier from Google. We do not receive your Google password.
- Player profile: date of birth, sex, self-rating, nationality, bio, DUPR ID, and an optional profile picture. Date of birth, sex, and rating are used to check that you are eligible for age, gender, and skill-level categories.
- Tournament registration: the categories you enter, your partner's name or email address, your answers to the organizer's registration questions, a screenshot of your entry-fee payment if the organizer requires one, and check-in records.
- Organizer information: tournament details, venue and location, categories, schedules, homepage content and announcements, uploaded images (tournament covers, sign-up page images, and payment QR codes), co-organizer invitations, and the payment proofs you send us for Lobb Control service fees.
- Referee information: name, email address, invitation and check-in status, availability, match assignments, and the scores you record.
- Messages and reports: inquiries to organizers, organizer messages, Staff Room conversations between organizers and referees, content reports, and product feedback. You can choose to send feedback anonymously.
- Contacting us and our waitlist: information you send when you email us, call or text us, or message us on Facebook or Instagram. If you joined our waitlist, we hold the email address you submitted.
Information created as you use the Service
- Tournament activity: brackets, schedules, court assignments, match results, scores, serving and timeout records, standings, playoff placements, and podium medals.
- Social activity: follows, activity posts, and heart reactions.
- Notifications: the in-app, email, and push notifications we send you, and push-notification tokens for the devices and browsers where you turn notifications on.
- Technical and security information: IP address, browser and device type, app version, request identifiers, sign-in and security events, and error logs. Our security records use one-way fingerprints instead of raw email addresses and IP addresses wherever possible, and our logs are designed to exclude passwords, sign-in tokens, and message contents.
- Location: only if you allow the mobile app to use your location to find nearby tournaments. Your coordinates are used for that search and are not saved to your account.
Information from other people
Other users may give us information about you. For example, a player may enter your name or email address as their partner, or an organizer may invite you by email to referee or co-organize a tournament. We use that information to send you the invitation and connect you to the tournament. When you sign in with Google, Google shares the account details described above.
3. How We Use Information
- To run your account: sign-up, sign-in, email verification, password recovery, and account security.
- To run tournaments: registration, eligibility checks, approvals, partner invitations, bracket and schedule generation, court and referee assignments, live scoring, standings, playoffs, check-in, and refund tracking.
- To show tournament information: public tournament pages, live scores and courts, and player profiles, as described in Section 4.
- To communicate with you: verification and invitation emails, registration receipts, court calls and match updates, referee assignments, organizer announcements and messages, billing notices, and important service updates.
- To handle payments: let organizers review entry-fee payment proofs and track refunds, and let us review organizers' payments for Lobb Control service fees. We do not process card payments or store bank, card, or e-wallet login details.
- To keep the Service safe: screen usernames and other text for offensive content, screen public images before they are published, review tournaments before they go public, investigate reports, prevent abuse and fraud, and respond to security incidents.
- To improve the Service: review feedback and understand how visitors use our marketing website.
- To meet legal obligations: comply with the law, respond to lawful requests, and establish or defend legal claims.
We process your information because it is needed to provide the Service you asked for, because we have a legitimate interest in running a safe and reliable service, because the law requires it, or, where we ask for it, because you consented. You can withdraw consent at any time, for example by turning off notifications or location access in your device settings.
Automated features
Lobb Control automatically generates schedules, assigns matches to courts, assigns referees, and screens text and images for content that breaks our rules. These features help run events and keep the Service safe. Organizers can review and override schedules and assignments. If something you submit is blocked by mistake, you can try again or contact us.
4. What Is Public
Lobb Control is built so that players and spectators can follow tournaments live. Once an organizer publishes a tournament and it passes our review, anyone can see:
- the tournament name, venue, dates, categories, homepage, and announcements;
- brackets, schedules, live court assignments, scores, serving status, standings, and playoffs; and
- the display names and profile pictures of organizers, participants, and referees.
The public list of registered players for a published tournament may show each player's age and sex, because these determine category eligibility. Your date of birth itself is not shown.
Your player profile is also public. It shows your name, username, profile picture, self-rating, nationality, bio, DUPR ID, the date you joined, your follower counts, wins and events, recent activity, and your history from published tournaments. Your email address is shown only to you.
The following are never public: your email address, date of birth, password, payment screenshots, payment QR codes, private messages, check-in codes, referee availability, and billing information.
5. Who We Share Information With
- Tournament organizers and their co-organizers: when you register for or referee a tournament, its organizers see the information needed to run it, including your contact details, registration answers, payment proof, check-in status, and the rating and nationality from your profile. Organizers can export their player lists to CSV or Excel files. Organizers are responsible for using this information only for their event.
- Other participants: your partner, opponents, and referees see the details needed to play, such as your display name and profile picture.
- Lobb Control staff: our authorized team members access information only to review tournaments before publication, review billing payments, handle reports and support requests, and keep the Service secure.
- Service providers that process information for us under our instructions:
- MongoDB Atlas (database and backups);
- Render (application hosting);
- Cloudflare (website hosting, network security, and storage and delivery of uploaded images through Cloudflare R2);
- Mailtrap (email delivery);
- Google (Google sign-in, and Google Analytics on our marketing website);
- Microsoft Azure AI Content Safety (screening public images such as profile pictures and tournament covers before they are published);
- Expo, Apple, Google, and web browser push services (delivering push notifications);
- Kit (sending emails to people who joined our waitlist); and
- Meta (if you message us on Facebook or Instagram, under Meta's own privacy policy).
- Legal and safety reasons: when required by law or a valid legal request, or when needed to protect the rights, property, or safety of our users, the public, or Lobb Control.
- Business changes: if Lobb Control is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this policy.
We do not sell personal information, and we do not share it with advertisers.
6. Cookies and Device Storage
- Web app: we use essential cookies to keep you signed in and to protect your session from cross-site attacks, plus a short-lived cookie during Google sign-in. We also use your browser's storage for app preferences. These are required for the app to work.
- Mobile app: your sign-in is kept in your device's secure storage. Referees' upcoming assignments and any scores recorded without an internet connection are stored on the device until they sync. This data is cleared when you sign out.
- Marketing website: lobbcontrol.com uses Google Analytics cookies to understand how visitors use the site. You can block these cookies in your browser settings or with Google's Analytics opt-out browser add-on.
We do not use advertising or cross-site tracking cookies.
7. How Long We Keep Information
We keep information only as long as we need it for the purposes in this policy, including resolving disputes, keeping accurate records, and meeting legal obligations. In particular:
- Accounts and profiles are kept while your account is active and deleted or de-identified after a verified deletion request, subject to the exceptions below.
- Tournament records such as results, standings, and medals are kept while the tournament exists on Lobb Control, because they form the event's history.
- Entry-fee payment proofs are kept through the tournament and any open refund, then deleted once they are no longer needed.
- Billing records for Lobb Control service fees are kept to explain and account for each bill. Organizer payment proofs are deleted when the tournament is deleted.
- Short-lived records expire automatically: email verification links after 24 hours, unfinished Google sign-ups after 10 minutes, duplicate-request protection records after 72 hours, and schedule-generation drafts after 30 days.
- Push-notification tokens are removed when you sign out of a device or when a token stops working.
- Backups are kept on a rolling schedule, so deleted information may remain in a backup for a limited time until that backup expires.
We may keep information longer when we are required to by law, or when it is needed for an unresolved refund, dispute, investigation, or legal claim.
8. How We Protect Information
We use safeguards that fit the sensitivity of the information, including encrypted connections (HTTPS), hashed passwords and one-time links, role-based access so people see only what their role in a tournament allows, private storage and short-lived links for payment screenshots and payment QR codes, removal of hidden metadata from uploaded images, rate limits, and security audit logs. No online service can be perfectly secure, so please use a strong password and tell us right away if you suspect unauthorized access to your account. If a personal data breach occurs, we will notify the National Privacy Commission and affected individuals as required by law.
9. International Transfers
Some of our service providers store or process information outside the Philippines, including in the United States and other countries. When we transfer information abroad, we remain responsible for it and use providers that protect it in line with this policy and the Data Privacy Act.
10. Your Rights
Under the Data Privacy Act, you have the right to:
- be informed about how your personal information is processed;
- access your personal information and get a copy of it;
- correct inaccurate or incomplete information;
- object to processing, including withdrawing your consent;
- have your information erased or blocked when it is no longer necessary or was unlawfully processed;
- receive your information in a commonly used electronic format (data portability);
- be compensated for damages caused by unlawful processing; and
- file a complaint with the National Privacy Commission (privacy.gov.ph).
You can update most of your profile, change or remove your profile picture, unfollow people, and turn off notifications yourself in the app. For anything else, including a copy of your information or deleting your account, email [email protected] with "Privacy Request" in the subject line, from the email address on your account if possible. We may ask you to confirm your identity before acting on a request, and we will not disclose another person's information in our response. If we cannot fully complete a request, for example because information is needed for an open refund or a legal obligation, we will explain why.
If your request concerns information an organizer collected for their tournament, we may forward it to that organizer or ask you to contact them directly.
11. Children
Players of all ages take part in pickleball tournaments. If you are under 18, please get your parent or guardian's permission before creating an account or registering for a tournament. A parent or guardian who believes their child has given us information without permission can contact us and we will help review or delete it.
12. Changes to This Policy
We will update this policy when our Service, providers, or legal obligations change. We will change the effective date at the top of this page and, for significant changes, notify you through the Service or by email.
